So, picture this: years and years of project files, documents, random downloads, just scattered everywhere. Different drives, folders inside folders inside folders… it was getting impossible to find anything. I’d waste so much time just searching. Finally got fed up.

Getting Started with ‘Posoy’

I decided I needed a simple system. Didn’t want anything complicated, just a way to sort things out. I started calling it ‘posoy’ in my head, kind of like ‘Project Sort – Yearly’. The main idea was simple: organize stuff based on when I last actually worked on it.

First step was just staring at the chaos. Honestly, it was overwhelming. Felt like digital hoarding. But I had to start somewhere.

The Actual Process

Here’s what I did:

  • I picked one hard drive to start with, the one with most of my active project stuff.
  • Made main folders for the last few years – like 2023, 2022, 2021, maybe back to 2018 or so.
  • Created another folder called something like Archive_Older for anything before that. Didn’t need that stuff cluttering the main view.
  • Then came the grunt work. I started opening project folders one by one. Looked at the ‘Date Modified’ for the files inside. Tried to figure out the last year I was seriously messing with that project.
  • Dragged the whole project folder into the correct year folder (e.g., a project last touched in 2022 went into the ‘2022’ folder).
  • Man, this took a while. Had to be patient. Click, check dates, drag, repeat. Found tons of old stuff I’d completely forgotten about. Some good memories, some cringey old attempts at things.
  • Ran into a problem with projects that spanned multiple years. Which year folder do they go in? I decided to put them in the latest year they were active. Seemed the most logical way to find them later.
  • Also found duplicate folders. Same project name, slightly different contents, sitting in different places. Had to compare them and delete the older or less complete ones. That felt pretty good, clearing out the junk.
  • Inside the year folders, I didn’t get fancy. Just the project folders directly inside. Kept it simple. The goal wasn’t perfect organization, just making things findable again.

How It Turned Out

It probably took me a good couple of afternoons, spread over a weekend. More time than I expected, honestly. There was a lot more junk than I realized.

But now? It feels so much better. When I need to find an old project, I just think, “Okay, when did I last work heavily on that?” Then I check that year’s folder. Nine times out of ten, it’s right there.

The Archive_Older folder is pretty huge, but it’s tucked away. I know if I desperately need something ancient, I can dig in there, but it’s not in my face all the time.

So yeah, that’s ‘posoy’. It’s nothing revolutionary. Just a basic system I forced myself to follow. Cleaned things up for me. Maybe it gives you an idea if your digital life is a mess too. Or maybe not. Just sharing what I did.
